Choosing the Best Launch Day & Month for Your Virtual Summit

Choosing the right date for your virtual summit might seem like a small detail but it can have a huge impact on how many people show up, stay engaged, and actually take action. The good news? With the right timing strategy, you can boost attendance. Here's how to pick the perfect launch day.

Here’s a quick guide to help you decide on your launch date.

1. Best Day to Launch

  •  Mid‑week (Tue–Thu) wins every time.

  • Thursdays are slightly ahead, followed by Wednesdays, then Tuesdays.

Avoid Mondays and Fridays for the first day of your event because most audiences are either catching up or checking out. (Again, be conscious of your chosen audience. It’s possible this could be a great day. This recommendation is based on the average audience.)

2. Best Time of Day to Send Out Your Daily Emails

(U.S. Audience, All Time Zones)

🕙 10:00–11:00 AM local time is consistently one of the top-performing send windows because:

  • Most people have cleared their early morning rush

  • They’re more likely to check email and actually click through

  • They're still mentally “fresh” before lunch distractions hit

If you're using Go High Level go with a mid-point default:

  • Send at 10:00–11:00 AM Eastern Time, which lands:

    • 10–11 AM for East Coast

    • 9–10 AM for Central

    • 8–9 AM for Mountain

    • 7–8 AM for Pacific

While this means early-birds on the West Coast get it at breakfast, many summit hosts report that this window still performs well—especially since people often check email multiple times a day AND many listeners prefer to listen while they are preparing for their day.

3. 🌎 What About International Attendees?

If most of your list is in the U.S. and just a few are international:

  • Stick with the U.S. window as your baseline.

  • Add a “48-hour access” reminder in each email so internationals don’t feel like they missed out. (KG Online Services automatically does this in your daily emails included in the My Summit Builder package.)

  • You can also include a note about time zones on speaker interview pages to reduce any confusion. (99% of the time international listeners are used to converting when they are attending U.S. based events.)

4. Best Months to Host

  • Spring (April–June) and Fall (esp. Sept–Oct) are peak times—your audience is recharged and ready.

  • Summer (July–August)? Generally slow, but if your niche thrives in warm, vacation months, go for it. This may also be a great time to create short and sweet lead magnets to promote the summit in September/October.

Avoid year-end clutter (late Nov–early Jan)unless you're doing a strong holiday-themed summit.

5. Holiday-Themed Summit

Almost any topic can be tweaked to be holiday themed. Ask us how! They are often much FUN!

  • December can work—especially early (Dec 1–15) with a fun holiday angle (e.g. "Your Christmas Summit Gift").

  • Same with Thanksgiving or New Year themes—but avoid launching 2–3 days before and after the holiday itself.

  • Holiday vibes work great—but unplugged weekends don’t.

6. What to Do on Weekends

Pulling back is smart. Engagement dips as people unplug. Instead:

  • Schedule a “weekend reset” email. Link to past content or highlight a freebie.

  • Or offer a short video or promo teaser to build buzz for the next week without adding content fatigue.

  • Take a moment to promote your offer or upgrade (VIP package). Keep it brief. Video under 5 minutes or short email.

7. First-Timer? Build in 90 Days Prep

Not ready with speakers or systems? Give yourself at least 90 days before launch. This buffer helps:

  • Confirm all speakers

  • Build your website, landing pages & graphics

  • Write, schedule emails and social posts

  • Set up tech, testing, speaker promo center, and promo strategies
